Executive Assistant to the Provost and Senior Vice President for Academic Affairs
Medaille College is accepting applications for an Executive Assistant to the Provost and Senior Vice President for Academic Affairs. The Executive Assistant is responsible for the oversight of the day-to-day operations of the Academic Affairs Office as well as duties that are required at specific times during the academic year with little or no supervision. The Executive Assistant supervises the Academic Affairs Office administrative assistant. The Executive Assistant is responsible for working with deans, chairs and program directors each semester to: ensure that all courses are staffed and inform the appropriate offices of instructors’ names; calculate faculty loads; prepare appointment letters for part-time faculty members; prepare payment forms for various stipends; track faculty absences; obtain syllabus for each course taught.
The Executive Assistant is responsible for maintaining the “Official Faculty File” for each full-time faculty member; providing the Provost with budgetary information as requested; providing the Provost with statistical information as needed; using the administrative computing system for various information gathering; providing various offices with current lists of faculty and/or staff; and tracking faculty members’ promotions and their consideration for tenure. The job requires contact with all internal constituents of the College—students, support staff, faculty members, and administrators—as well as external constituents.
Master’s degree preferred. Full knowledge of Microsoft Office Suite; demonstrated ability to utilize various administrative computing systems. The successful candidate will have excellent oral and written communication skills, must be highly organized and motivated. This position requires the ability to maintain confidentiality.
